Overtime¶
When an employee works beyond their scheduled shift (after the grace period), 4Geeks Payroll creates an overtime record that must be approved before it is paid.
Only approved overtime is paid
Detected but unapproved overtime is shown in the payroll preview as informational only (Xh detected · unapproved) and is not paid. Approve it here to include it.
The Overtime panel¶
Go to Payroll → Overtime. The panel lists overtime records with:
- Status filters: Pending, Approved, Rejected, All (Pending shows a count badge).
- Type filters: All types, Overtime, Regular.
- Each card shows the employee, type badge (Regular/Overtime), status, hours, round-in/round-out times, the grace period applied, the creation date, and the rejection reason if any.
Approve or reject¶
- Select the pending records (or use Select all pending).
- Click Approve / Approve All, or Reject.
- Rejecting opens a modal where you can add an optional reason.
Regular vs overtime records¶
Depending on the Auto-approve regular hours setting:
- When on (default): regular hours are approved automatically, and only overtime beyond the grace period is flagged here.
- When off: regular entries are also created for review.
The Overtime grace period (Settings → Payroll) sets how many minutes after the scheduled shift end are ignored before overtime starts accruing. 0 means overtime starts immediately.
How approved overtime is paid¶
Approved overtime hours are priced using the employee’s ordinary hourly rate (fixed salary ÷ 160) multiplied by a country-specific multiplier:
| Country | Overtime rule |
|---|---|
| Costa Rica | 1.5× |
| Guatemala | 1.5× |
| Chile | 1.5× |
| Peru | 1.25× for the first 2 hours per day, 1.35× beyond |
| Mexico | 2× for the first 9 hours per week, 3× beyond |
| Panama | 1.25× day / 1.5× night / 1.75× night-shift extension |
| Honduras | 1.25× day / 1.5× night / 1.75× extension |
| Colombia | 1.25× day / 1.75× night |
| Ecuador | 2× on weekends, holidays and 00:00–06:00; otherwise 1.5× |
| El Salvador | 2× day / 2.25× night |
| Uruguay | 2× business days / 2.5× Sundays and holidays |
| Paraguay | 1.5× day / 2.6× night |
| Other countries | 1.5× (default) |
Night windows differ per country; overtime that crosses into a night window is priced accordingly.
