Employee Profiles¶

Each employee record includes comprehensive information:

Personal Information¶

• Full name, email, phone
• National ID / tax ID
• Date of birth
• Address
• Emergency contact

Employment Details¶

• Job title and category
• Station assignment(s)
• Hire date
• Contract type
• Hourly rate / salary
• Payment currency
• Payment method

Face-ID Photos¶

Upload employee photos for identification and biometric verification:

1. Open the employee profile
2. Click Manage Photos
3. Upload or capture a photo
4. The photo is processed for face recognition

Face-ID photos are used with the Entrance App for biometric check-in and can be referenced for employee identification.

Job Categories¶

Classify employees into job categories for reporting and payroll:

• Management — Executives, directors, managers
• Administrative — Office staff, coordinators, assistants
• Technical — Engineers, developers, specialists
• Operations — Field workers, operators, technicians
• Sales — Sales representatives, account managers
• Support — Customer service, help desk
• Custom — Define your own categories

Job categories appear in analytics and can be used to filter reports.

Bonuses¶

Manage per-employee bonuses with five predefined types:

Adding a Bonus¶

1. Open the employee profile
2. Click Bonuses
3. Click Add Bonus
4. Configure:
5. Type — Select from predefined types
6. Amount — Fixed amount or percentage of salary
7. Period — One-time or recurring
8. Start Date — When the bonus begins
9. End Date — When the bonus expires (optional)
10. Notes — Description or conditions
11. Click Save

Installment Tracking¶

Bonuses can be paid in installments:

• Set the total amount and number of installments
• The system calculates the per-pay-period amount
• Track remaining balance and payment history

Deductions¶

Manage per-employee deductions with six predefined types:

Adding a Deduction¶

1. Open the employee profile
2. Click Deductions
3. Click Add Deduction
4. Configure:
5. Type — Select from predefined types
6. Amount — Fixed amount per pay period
7. Total Amount — Total to deduct (for installment deductions)
8. Start Date — When deductions begin
9. End Date — When deductions end (or until total is reached)
10. Notes — Description
11. Click Save

Installment Tracking¶

Deductions are tracked until the total amount is reached:

• Set the total amount to deduct
• The system deducts the fixed amount each pay period
• Deductions stop automatically when the total is reached
• View remaining balance and payment history

Bulk Employee Import¶

Import multiple employees at once via CSV:

1. Navigate to the Employees tab
2. Click Import Employees
3. Download the CSV template
4. Fill in employee details for each row
5. Upload the completed CSV
6. Review the import summary
7. Click Confirm Import

The import validates data and reports any errors before committing.

Employee Invitations¶

Invite employees to create their accounts:

1. Open the employee profile
2. Click Send Invitation
3. The employee receives a magic link via email
4. They set up their password and access the mobile app/portal

Vacation Tracking¶

Track vacation accrual and usage per employee:

• Accrual Rate — Calculated based on country and tenure
• Available Days — Current vacation balance
• Used Days — Vacation days taken
• Pending Requests — Awaiting approval
