Payslips

Payslips are generated automatically after each payroll run. They provide employees with a detailed breakdown of their compensation for the pay period.

Overview

Each payslip includes:

  • Employee Information — Name, ID, station, pay period
  • Earnings — Regular hours, overtime, bonuses
  • Deductions — Itemized deductions by type
  • Tax Withholdings — Income tax, social security, and other statutory deductions
  • Employer Contributions — Informational (not deducted from employee pay)
  • Net Pay — Final take-home amount

Viewing Payslips

Navigate to the Payslips tab to see all generated payslips:

Column Description
Employee Employee name
Period Pay period dates
Gross Pay Total earnings before deductions
Deductions Total deductions and taxes
Net Pay Take-home amount
Status Generated, viewed, exported

Click any payslip to view the full detail.

The payslip detail view shows a complete breakdown:

Exporting Payslips

Individual Payslip (PDF)

  1. Open the payslip detail
  2. Click Export PDF
  3. The payslip is downloaded as a formatted PDF document

Bulk Export (PDF)

  1. Select multiple payslips using checkboxes
  2. Click Export PDF
  3. All selected payslips are downloaded as individual PDFs in a ZIP file

Export to CSV

  1. From the Payslips tab, click Export CSV
  2. Choose scope:
  3. All payslips
  4. Current pay period
  5. Specific station
  6. Download the CSV file

Payslip PDF Format

The PDF payslip includes:

  • Company branding — Your company logo (uploaded in Settings → Branding)
  • Company details — Name, address, tax ID
  • Employee details — Name, ID, position, station
  • Pay period — Start and end dates
  • Itemized breakdown — Earnings, deductions, taxes, net pay
  • Employer contributions — Shown as informational
  • Payment method — Bank transfer details (if configured)

Employee Access

Employees can view their own payslips through:

  • Mobile App — View and download payslips from the 4Geeks mobile app
  • Employee Portal — Access payslips through the web portal
  • Email Notification — Optional notification when new payslips are available

Filtering Payslips

Filter the payslip list by:

  • Pay Period — Specific period or date range
  • Employee — Individual employee
  • Station — Work location
  • Status — Generated, viewed, exported

Reissuing Payslips

If a payroll run is reversed and re-executed:

  1. Original payslips are voided
  2. New payslips are generated with the corrected calculations
  3. Both the original and reissued payslips appear in history
  4. The reissued payslip is marked as “Reissued”

Best Practices

  1. Review before distributing — Check payslips for accuracy before making them available to employees
  2. Use company branding — Upload your logo in Settings for professional-looking payslips
  3. Enable notifications — Let employees know when payslips are ready
  4. Keep records — Export and archive payslips for compliance
  5. Communicate changes — If a payslip is reissued, explain the correction to the employee
