Payroll Stations

Stations represent physical work locations where employees are assigned. Use stations to track attendance, manage timesheets by location, and generate per-location payroll reports.

Overview

Stations help you organize your workforce by location:

  • Track attendance by work site
  • Assign employees to one or more stations
  • Generate reports per location
  • Color-code stations for quick visual identification

Creating a Station

  1. Navigate to the Stations tab in Payroll
  2. Click Add Station
  3. Fill in station details:
  4. Name — Location name (e.g., “Downtown Office”, “Warehouse A”)
  5. Color — Color code for visual identification
  6. Address — Physical address (optional)
  7. Notes — Additional information
  8. Click Save

Managing Stations

Edit a Station

  1. Click on the station card
  2. Click Edit
  3. Update the details
  4. Click Save

Delete a Station

  1. Click on the station card
  2. Click Delete
  3. Confirm deletion

Active Assignments

Stations with assigned employees cannot be deleted. Reassign employees first.

Assigning Employees to Stations

  1. Navigate to the Employees tab
  2. Select an employee
  3. Click Edit
  4. Choose the station(s) from the dropdown
  5. Click Save

Employees can be assigned to multiple stations if they work across locations.

Station-Based Timesheets

When employees clock in or submit timesheets, the station is recorded automatically:

  • GPS-validated clock-in associates the entry with the nearest station
  • Manual timesheet entries allow station selection
  • Entrance App check-ins are linked to the station where the tablet is configured

Station Directory

The Stations tab provides a directory view of all locations:

Column Description
Name Station name
Color Color identifier
Employees Number of assigned employees
Active Timesheets Current period timesheets

Click any station to view its employees and recent activity.

Per-Station Payroll Reports

When running payroll, you can filter and group results by station:

  • View gross/net pay per location
  • Export station-specific payslips
  • Compare costs across stations

Best Practices

  1. Use consistent naming — Standardize station names across your organization
  2. Color-code meaningfully — Use colors to distinguish location types (offices vs. warehouses vs. field sites)
  3. Keep stations current — Remove or archive stations that are no longer active
  4. Assign carefully — Ensure employees are assigned to the correct station for accurate reporting
