Points System

The points system provides a digital currency for employee perks. Allocate points to employees, define redeemable items in a catalog, and track all redemptions.

Overview

The points system includes:

  • Points Catalog — Items employees can redeem
  • Points Allocation — Automated point distribution schedules
  • Points History — Transaction log of all point movements
  • Redemptions — Record of items claimed by employees
  • Products — Self-serve market items with points costs

Points Catalog

The catalog defines what employees can redeem their points for.

Adding a Catalog Item

  1. Navigate to the Points Catalog tab
  2. Click Add Item
  3. Configure:
  4. Name — Item display name
  5. Description — Item details
  6. Points Cost — How many points to redeem
  7. Category — Grouping category (Food, Transport, Wellness, etc.)
  8. Image — Item photo (optional)
  9. Stock — Available quantity (0 = unlimited)
  10. Active — Whether the item is available for redemption
  11. Click Save

Catalog Categories

Organize items into categories:

Category Examples
Food & Beverage Meals, coffee, snacks
Transportation Parking, transit passes
Wellness Gym sessions, wellness activities
Office Supplies, equipment
Entertainment Events, recreation
Other Miscellaneous items

Managing the Catalog

  • Edit items — Update costs, descriptions, images
  • Deactivate items — Hide from employees without deleting
  • Adjust stock — Update available quantities
  • Reorder — Change display order

Points Allocation

Automate point distribution to employees on a schedule.

Creating an Allocation Rule

  1. Navigate to the Points Allocation tab
  2. Click Create Allocation
  3. Configure:
  4. Name — Rule name (e.g., “Monthly Meal Allowance”)
  5. Amount — Points to allocate per cycle
  6. Frequency — Daily, Weekly, Monthly, Custom
  7. Recipients — All employees, specific corporation, or selected employees
  8. Start Date — When allocations begin
  9. End Date — When allocations end (optional)
  10. Rollover — Whether unused points carry over
  11. Click Save

Allocation Frequencies

Frequency Description Example
Daily Points added every day 50 points/day for coffee
Weekly Points added every week 200 points/week for lunch
Monthly Points added on the 1st of each month 1000 points/month for meals
Custom Custom cron schedule Every other Friday

Rollover Rules

Setting Behavior
Rollover enabled Unused points accumulate
Rollover disabled Unused points expire at end of cycle
Max balance Cap on total points an employee can hold

Allocation History

View all allocations in the Points History tab:

Column Description
Date When points were allocated
Employee Who received points
Amount Points added
Source Allocation rule name
Balance Employee’s total balance after allocation

Points Redemption

When employees redeem items from the catalog:

  1. Employee selects an item (via RFID or mobile app)
  2. System checks point balance
  3. If sufficient, points are deducted
  4. Redemption is recorded
  5. Stock is decremented (if limited)

Redemption Record

Each redemption includes:

Field Description
Date/Time When the redemption occurred
Employee Who redeemed
Item What was redeemed
Points Cost in points
Station Where it was redeemed
Balance After Remaining points

Self-Serve Market Products

For self-serve market stations, manage products separately from the general catalog.

Adding a Product

  1. Navigate to the Products tab
  2. Click Add Product
  3. Configure:
  4. Name — Product name
  5. Barcode — Product barcode/SKU
  6. Points Cost — Price in points
  7. Category — Product category
  8. Stock — Available quantity
  9. Reorder Level — Alert when stock drops below this
  10. Image — Product photo
  11. Click Save

Product Categories

  • Snacks — Chips, candy, nuts
  • Beverages — Water, soda, juice
  • Fresh Food — Salads, sandwiches, fruit
  • Frozen — Ice cream, frozen meals
  • Household — Paper goods, cleaning supplies
  • Personal Care — Toiletries, hygiene products

Stock Management

  • Manual count — Update stock manually
  • Auto-deduct — IoT-enabled stations deduct automatically on purchase
  • Low stock alerts — Notifications when items reach reorder level
  • Bulk import — Import product catalog via CSV

Points Balance

Employee View

Employees can check their balance:

  • Mobile App — Real-time balance on home screen
  • RFID Reader — Balance displayed after tap
  • Web Portal — Detailed balance and history

Admin View

Administrators can view:

  • All balances — Points balance for every employee
  • Aggregate totals — Total points in circulation
  • Allocation vs. redemption — Net points flow
  • Expiration tracking — Points about to expire

Reporting

Points Reports

Available in the Reports tab:

Report Description
Allocation Summary Points allocated by rule and period
Redemption Summary Items redeemed by category and period
Balance Report Current balances across all employees
Expiration Report Points expiring in the next 30 days
Product Sales Self-serve market sales by product

Exporting Reports

  1. Navigate to Reports
  2. Select the report type
  3. Choose date range
  4. Click Export (CSV or PDF)

Best Practices

  1. Set meaningful point values — Align points with real costs
  2. Monitor balances — Watch for excessive accumulation or depletion
  3. Use rollover wisely — Disable rollover for time-limited benefits
  4. Keep catalog fresh — Rotate items to maintain interest
  5. Track redemptions — Use data to optimize your perks program
