The Applicant Tracking System (ATS) module in 4Geeks Talent helps companies manage candidates visually. Recruiters can easily drag and drop applicants. This helps them track progress from the first interview to the final hiring.

This guide shows how to use the ATS board and interact with candidate cards. It also explains how to use internal tools like comments, messaging, and feedback.


Candidate pipeline

The ATS board is divided into three main stages, each representing a step in the hiring lifecycle:

  • Interview: Candidates currently undergoing interviews.
  • Offer: Candidates who have completed interviews and received an offer.
  • Hired: Candidates who accepted the offer and were successfully onboarded.

A card represents each applicant. You can drag and drop cards across stages to reflect updates in their hiring status.

Note

Moving a candidate between stages is for internal use only. Candidates are not notified.


Viewing candidate information

Every card on the board contains basic candidate information. To see full details:

  1. Click on any candidate card.
  2. A detailed modal will appear, displaying:
  3. Personal and professional background
  4. Skills, experience, and availability
  5. External links (e.g., LinkedIn, GitHub)

This view helps you evaluate candidates before making decisions or progressing them through the pipeline.

Collaborating with team members

To improve internal communication, each candidate card has a comments section. You can use it to add private notes.

How to leave a comment:

  1. Click the comments icon on the card.
  2. A comment panel will open.
  3. Add your note and click Save.

These comments are shown only to team members. They help with internal qualifications and candidate prioritization.

Contacting candidates

If you decide to reach out to a candidate directly, you can do so from within their profile.

How to send a message:

  1. Open the candidate detail modal.
  2. Click the Send Message button.
  3. You will be redirected to the Mailbox module to write and send your email.

Messages are sent to the candidate’s email and archived in your Mailbox for future reference.

Providing feedback and reviews

Feedback helps your team keep track of evaluation history. The ATS lets you leave structured reviews on each candidate profile.

How to add feedback:

  1. Scroll to the bottom of the candidate detail modal.
  2. Click Review to open the evaluation form.
  3. Complete the form:
  4. Rate the candidate using stars
  5. Add a text-based internal comment

Once saved, reviews remain stored and can be revisited if the candidate reapplies in the future.

Feedback is visible only to your team and helps maintain hiring consistency over time.
